Use this practical sequence to prepare an engineering teaching laboratory before equipment arrives, document acceptance clearly, and give instructors a reliable starting point for the first student sessions.

1. Prepare the laboratory before delivery

Commissioning is easier when the room, utilities and teaching plan are agreed before equipment is dispatched. Start with a room-by-room schedule rather than a general purchase list. For every apparatus, record the model reference, the experiment it supports, the intended position, the service connection required, and the person who will accept it.

Confirm the room

  • Measure doorways, corridors, lift access and the final bench or floor position.
  • Reserve safe teaching clearance around moving, hot, pressurised or rotating equipment.
  • Check lighting, ventilation, drainage and flooring for the planned experiment.

Confirm utilities

  • Identify the available electrical supply and earthing arrangement.
  • Confirm water inlet, drain, compressed air or extraction where the experiment requires it.
  • Keep utility isolation points accessible to instructors and maintenance staff.

Do not treat a generic site survey as proof that every model can be installed. Send the supplier the delivery country, electrical supply, room constraints, selected models and quantities early enough for them to identify configuration questions in the quotation.

2. Inspect the delivery before unpacking

At delivery, match the consignment against the purchase order and packing documentation. Photograph the outer condition if there is visible damage, then record shortages or transit concerns before the carrier leaves where local procedures allow. Keep serial numbers, packing-list references and any exception note with the project file.

3. Commission the apparatus in a controlled sequence

Commissioning is more than switching equipment on. It is a documented check that the delivered configuration can operate safely and supports the agreed teaching activity. Work through one apparatus or one coherent rig at a time, with the instructor or technical representative present.

  1. Place and connect. Position the equipment, level or secure it where required, and connect only the utilities specified for that model.
  2. Review the operating information. Identify start-up, shutdown, emergency isolation and routine care steps before the first powered test.
  3. Perform the agreed functional demonstration. Use the stated experiment or acceptance points from the approved specification. Record readings and observations rather than relying on a verbal sign-off.
  4. Train the local team. Cover normal operation, precautions, fault reporting and the location of product records.
  5. Close observations. Assign an owner and target date for every missing item, configuration question or remedial action.

4. Build a handover file that instructors can use

A good handover file reduces dependence on the person who received the shipment. Keep it digital as well as in the laboratory where appropriate. The file should make it easy to trace what was bought, how it was configured, and what was demonstrated at commissioning.

  • Approved quotation, purchase order and model schedule
  • Delivery and packing records, including any exceptions
  • Operating information and supplied documentation
  • Commissioning record, readings, photographs and open-action list
  • Training attendance or instructor handover record
  • Maintenance, calibration or service plan where relevant

5. Plan the first teaching cycle
