Laboratory Equipment RFQ Checklist and Template for International Buyers

Preparing an international laboratory-equipment enquiry? A clear RFQ helps suppliers quote the right configuration, prevents mismatched equipment and makes comparisons more useful. Use this checklist before sending your requirement.

Use this page when you need a quote for a single model, a BOQ or a complete laboratory setup.
You do not need every detail to start. The model or experiment requirement, quantity and destination are the most important inputs.

Not sure whether you have enough information to request a focused quotation? Start with the international RFQ readiness check, then use this template to prepare the enquiry.

International laboratory equipment RFQ checklist

  1. Equipment or experiment required. Add the model code where known. If you do not have a model, describe the experiment, discipline or syllabus outcome instead.
  2. Quantity. State the number of units, student stations or laboratories covered by the request.
  3. Configuration. Note required voltage, frequency, language, accessories, instrumentation or safety requirements.
  4. Destination. Include the country and, when available, the delivery city or preferred port.
  5. Procurement route. Identify whether this is a budget enquiry, distributor requirement, direct purchase, tender or BOQ evaluation.
  6. Technical documents. List any manuals, drawings, test records, conformity documentation or packing information required for your process.
  7. Delivery timing. Give the required delivery window or tender deadline. Avoid assuming a lead time before the configuration is confirmed.
  8. Evaluation criteria. Tell suppliers how the proposal will be assessed: experiment coverage, specification, supplied accessories, installation scope, documentation or commercial terms.

How to compare laboratory-equipment quotations

Compare the scope before comparing a total figure. Two proposals with similar product names can differ in experiments, sensors, accessories, supplied documentation, electrical configuration, installation scope and delivery terms. Ask each supplier to identify the exact model and what is included or optional.

Compare Question to ask
Model and experiment scope Which experiments, measurements or learning outcomes does this configuration cover?
Supplied items Which accessories, consumables, software, instruments and manuals are included?
Site requirements What utilities, electrical supply, space and commissioning requirements apply?
Documentation Which records or documents can be provided for this exact order?
Commercial terms Which delivery term, packing scope and commercial assumptions are included?

When comparing more than one supplier, use the laboratory equipment supplier evaluation checklist to assess the proposed model, supplied scope and commercial assumptions on the same basis.

For complete laboratory setups

For a new or upgraded laboratory, begin with the discipline and learner level, then provide your existing BOQ or syllabus. This allows the proposed equipment list to be checked for experiment coverage rather than assembled from generic product names.

Explore relevant ranges: engineering training equipment, nursing laboratory equipment, medical laboratory equipment and pharmacy laboratory equipment.

    Frequently asked questions

Do I need a model number before requesting a quote?

No. An experiment requirement, discipline, syllabus reference or existing equipment list is enough to start a technical discussion.

Can I request a quote for more than one item?

Yes. List each item and quantity in the requirements field, or provide the essential BOQ details.

What is the best way to prevent a mismatched quotation?

State the experiment or intended use, required configuration, destination and any documents required by the buyer. Ask the supplier to identify the proposed model and supplied scope in writing.

Use the tender compliance matrix template to record each requirement, offered model, deviation and supporting reference line by line.
