Why We Don’t Send You a Price List

Someone emailed us this morning. Subject line: quick question. Body, one sentence long.

“Hi, can you just send me your price list?”

No model number attached. No quantity. Sent at 11:47 PM, probably right after closing eleven other supplier tabs, at the end of a long day spent chasing quotes that never quite matched what showed up in the crate.

We wrote back and asked for a spec: which rig, what voltage, how many units, where they’re headed. The reply came fast, and it had an edge to it. Something close to: “It’s just a price list. Why does this have to be complicated?”

We’ve had some version of that email land in our inbox more times than we can count. Different names, different countries, same sentence. And every time, we understand exactly where it’s coming from. You’re not being difficult. You’re tired. You’ve spent a week getting the runaround from suppliers who won’t just say a number, and here comes another one asking for paperwork before they’ll talk price.

Perhaps there’s a purchase committee meeting on Thursday and nothing yet to bring them. Or a dean asked for a ballpark last week and you still don’t have one to hand over. Bought equipment before, from someone else, and had it go badly enough that you’d rather not repeat the experience? That would explain the short fuse too. Whatever brought you to that one-line email, the frustration behind it is real, and it deserves a real answer, not a form reply telling you to fill out more fields before anyone will talk to you.

So before we explain why we don’t keep a price list, we want to say this plainly: we know how that request feels from your side of the screen. You’re not wrong to want a fast answer. You’re just asking the wrong question of the wrong kind of company, and explaining that is on us, not on you to guess.

For a lot of what you buy, a price list makes perfect sense. Pens don’t change by port of entry. A price list works when the product is the same everywhere it lands. A teaching lab rig is not that kind of product, and pretending otherwise, just to make the first email shorter, would cost you far more than the thirty seconds it saves.

Why we say no to that email

Here’s the truth, and it isn’t a sales line: no two labs order the same rig the same way.

A university in Nairobi wants 415V three-phase and a shipping route through Mombasa. Send the identical rig to a polytechnic in Riyadh and the spec flips entirely: 220V, a different accessory kit, freight cleared through Jeddah instead. Move two states over from our workshop in Ambala to a private engineering college with a stricter accreditation body, and now the calibration standard changes too, along with the paperwork that has to travel with it.

What a price list actually hides

Here’s something worth sitting with for a second. Suppliers who do publish a price list are rarely being more transparent than we are. Usually they’re hiding something else.

That published number almost always describes a base configuration: bare frame, minimum sensor set, no calibration paperwork worth mentioning, a standard voltage that may not match your lab’s actual supply. It’s the version nobody ever actually orders. Then the real quote arrives, stacked with line items you didn’t see coming, the accessory kit you needed all along, the certificate your accreditation body requires, freight that somehow wasn’t in the headline figure either.

You end up negotiating twice. Once for the number that got you in the door, and again for the equipment you actually need to run a working lab. That second negotiation is where trust usually breaks, because it happens after you’ve already told your procurement committee what the price was supposed to be.

Think about what that second negotiation costs, beyond the money. You go back to the same dean who approved the first figure and explain that it’s grown. Your credibility takes the hit, not the supplier’s. They already have your deposit. The power that mattered, the ability to walk away and choose someone else, was strongest before you signed anything, and a published low number is specifically designed to get you past that point before the real figure ever surfaces. The pattern shows up almost identically on thermodynamics setups. What we do instead

Here’s the actual process, no dressing it up.

You tell us the rig, or describe the experiment you’re trying to teach and let us recommend one. The quantity. The destination. That’s the whole input, three pieces of information, nothing more.

From there, our engineering team pulls the exact configuration: voltage for your country, the accessory list your lab manual or syllabus calls for, the calibration standard your accreditation body will accept, and a freight route priced for your actual port or airport, not a generic one somewhere on a map. We build a proforma invoice around that specific build and get it back to you within roughly 24 hours.

That proforma is the real number. Not a floor. Not a teaser rate meant to get you on a call. The figure you can hand to your dean, your purchase committee, or your finance officer, and trust it will still be the figure when the crate lands at your dock.

Not because we don’t trust our own build sheet, but because a crate that doesn’t match its paperwork is a problem for you, not for us, once it’s on a ship. That discipline matters even more when you’re weighing more than one supplier at once and trying to keep the comparison honest rather than taking anyone’s word for it.

None of this exists to slow you down. It exists so the number you get is the number you pay.

Who this is actually good for

This process isn’t for everyone, and we’re comfortable saying that out loud.

If you want a ballpark figure to sanity-check a budget line before any real decision gets made, a generic price list from somewhere else will serve you faster than we will. We’re not the right stop for that kind of question, and we’d rather tell you now than waste your afternoon.

This is for the lab-in-charge who ordered from a “starting from $X” supplier once, got the real invoice three weeks later, and had to walk into a dean’s office explaining why the number had grown. Or the procurement officer who has been asked, more than once, to justify a purchase order where the line items didn’t match what was promised on the call. Picture too the department head placing a first international order, who would rather spend two extra days getting the spec right than spend two extra months untangling a shipment that arrived at the wrong voltage.

If any of that sounds familiar, the 24-hour wait for a proforma isn’t friction. It’s the whole point of asking.

For that reader specifically, a fast fake number is worse than useless. It sets an expectation that the real process then has to walk back later, in front of the same colleagues who were promised a simple answer up front.

We don’t need a formal RFQ document. We don’t need a procurement portal login or a ten-field intake form.
