An NBA visit is not an equipment audit. The evaluators are checking whether your laboratories deliver the course outcomes you claimed in your Self Assessment Report, and a room full of new apparatus with no usage record behind it will not carry that argument. This is what the visiting team actually looks at, and what to have ready before they arrive.
The one thing most colleges get wrong
NBA moved away from counting equipment in 2009. In its own words, accreditation was previously based on an “input, process, output” model with major emphasis on availability of resources and facilities. It now states plainly that educational quality must be measured by outcomes rather than inputs, “because inputs do not necessarily correlate with quality outcomes”.
Read that as a purchasing instruction. Buying equipment does not earn accreditation. Being able to show that a specific experiment, run on that specific equipment, by a documented number of students, produced a measured course outcome is what earns it. The equipment is the means. The evidence trail is the deliverable.
That is why departments that spend heavily in the last quarter before a visit often score no better than departments that spent nothing. New apparatus with an unbroken seal and an empty logbook tells the evaluator the opposite of what it was bought to say.
Check which SAR format you are being assessed against
This matters in 2026 and a surprising number of guides still have it wrong. NBA announced a new Self Assessment Report format for Tier I engineering programs, the July 2024 document, aligned to GAPC Version 4.0 and applicable with effect from 1 August 2024.
The transition worked like this. Institutions that had already submitted under the earlier January 2016 document could either continue in that format or apply afresh in the new one, and fresh applicants could choose either document. Both of those options ran until 31 December 2024. If you are preparing now, you are preparing against the newer format, and any checklist written against the 2016 document will send you looking for the wrong evidence.
The accreditation criteria, processes and policies themselves sit in NBA’s published manuals. The General Manual for Accreditation and the Manual for Accreditation of Undergraduate Engineering Programs for Tier I Institutions, both Version May 2019, apply to accreditation visits from August 2019 onwards. Download the pair that matches your tier and programme before you build any internal checklist, because the tier you fall under changes what is asked of you.
What the visiting team does in the laboratory
The lab portion of a visit is short and it is evidential. Expect the team to work through some combination of the following.
- Match the experiment list to the syllabus. Every experiment the curriculum promises should be runnable on equipment physically present. A missing rig is a gap in curricular delivery, not a stores problem.
- Ask a student to run something. This is the fastest way to find out whether apparatus is used or stored. It also surfaces whether lab instructors know the equipment.
- Open the logbooks. Utilisation records, batch sizes, dates. A rig that serves sixty students on paper and shows twelve entries invites a question you do not want.
- Look for calibration status. Instruments that produce a number need traceable calibration, and the certificate needs to be current and findable, not in a file in another building.
- Check safety provision. Guarding, emergency stops, ventilation where it applies, first aid, and whether the people supervising have been trained on the specific machine.
- Trace one outcome end to end. The team may pick a single course outcome and follow it from the syllabus, to the experiment, to the assessment rubric, to the marks, to the attainment calculation. This is the part that separates a strong file from a thick one.
The documentation to assemble per laboratory
Build one file per laboratory rather than one file per criterion. It is faster to defend and it matches how the visit actually moves through the building.
- Equipment list with make, model, quantity, year of purchase and current working status, including items that are down
- Purchase evidence: indent, tender or quotation trail, purchase order, invoice, and the installation report
- Commissioning and acceptance record, signed, with the date the equipment was handed to the department
- Calibration certificates with validity dates, and the schedule for the next round
- Operating manuals and standard operating procedures, available in the lab rather than in an office
- Experiment list mapped to course outcomes, with the apparatus each experiment uses named against it
- Utilisation register: batches, dates, student counts, staff supervising
- Maintenance and breakdown log, including what was repaired and how long it was out of service
- Safety file: risk notes, training records, inspection dates
Two practical notes. First, a breakdown log with entries in it reads better than an empty one, because it demonstrates the lab is in use and that the department responds. Second, if an item is out of service, say so and show the repair trail. Evaluators find the dead rig either way, and finding it undeclared is worse than finding it declared.
What to ask your equipment supplier for
Most of the documentation above should arrive with the equipment rather than being reconstructed a year later, and this is worth specifying at the purchase stage.
- Calibration certificate at the point of supply, with the traceability stated
- Operation and maintenance manual, with the experiment procedures the apparatus is intended to support
- Installation and commissioning report signed on site
- Spares and consumables list, so a rig does not sit dead through an inspection window waiting on a part
- Warranty terms in writing, and a named support contact

A realistic preparation sequence
If a visit is scheduled and you are starting now, work in this order rather than alphabetically through the criteria.
- Audit against the syllabus first. List every experiment the curriculum requires and mark the ones you cannot run today. That list is your procurement scope and nothing else should be bought until it is complete.
- Fix the evidence on equipment you already own. Calibration, manuals, logbooks and outcome mapping on existing apparatus is cheaper and scores better than new purchases with no history.
- Buy only what closes a curricular gap, and buy it early enough to generate a usage record before the visit.
- Run the outcome trace yourself. Pick one course outcome and follow it to the attainment number. Whatever breaks when you try is what will break in front of the committee.
- Rehearse in the room. Lab staff should be able to find any document the team asks for inside a minute, standing where they are standing.
