A due-diligence framework for anyone choosing a lab equipment manufacturer to represent
This page is written for the distributor, reseller, importer or sourcing agent, not for the college buying one machine. If you are about to put your name in front of a manufacturer in your market, you are underwriting their quality, their documents and their after-sales behaviour with your own reputation. That is a bigger commitment than a purchase order.
I have sold laboratory and engineering teaching equipment into export markets for years and managed dealers in several of them. The deal I have seen go wrong most often is not the one where the equipment was poor. It is the one where the distributor signed on the strength of a catalogue and a photograph, then discovered at tender stage that the supplier could not produce a dimensioned drawing, could not answer a technical evaluation sheet, and had already quoted the same institution directly.
So this is a neutral tool. Every check below can be put to any manufacturer, including Scientico. Use it on three suppliers side by side and score them. If you pick someone else because they score better, the page has still done its job.
How to score
Score each line 0, 1 or 2. Do not soften it.

A supplier who scores 1 everywhere is not necessarily bad. They are unproven, and unproven is where distributor money gets lost. Push every 1 to a 0 or a 2 before you commit.
Area 1: Manufacturing reality
Start here, because everything else is downstream of it. A trading house and a manufacturer can produce identical brochures. They cannot produce identical answers to these questions.

If you are evaluating a supplier for private label or badge-engineered work rather than straight resale, the manufacturing questions get harder and should be put in writing up front through an OEM and export enquiry rather than through a normal sales channel.
Area 2: Quality system, and the certificate that people misread
This is where most distributor due diligence goes wrong, and it goes wrong in the supplier’s favour by accident rather than by fraud.
A quality management certification such as ISO 9001:2015 certifies a system. It says an independent body audited how the company documents its processes, controls its records, handles non-conformity and reviews itself. It does not say that any individual item you receive performs to a stated accuracy. Anyone who tells you their ISO 9001 certificate proves their instrument reads within a tolerance has either misunderstood their own certificate or is hoping you will.
Two things to check on any quality certificate before you rely on it.

Factory calibration certificate versus accredited calibration certificate
This distinction decides tenders, so learn it properly.

Be plain about this with your customers. Many manufacturers of teaching equipment, Scientico included, supply factory calibration certificates and do not supply accredited third-party calibration certificates. That is normal and it is adequate for teaching and demonstration apparatus. What is not acceptable is describing a factory certificate as an accredited one in a tender response. That is a misdescription, and in a competitive bid it is the kind of thing a losing competitor will challenge.
If your customer genuinely needs accredited calibration, the usual route is to buy the equipment and then have the relevant instruments calibrated by an accredited laboratory in your own country, on a recurring cycle. Area 3: Conformity and documentation
Documentation is the part distributors under-price. You will spend more hours on paperwork than on selling, and a supplier who cannot supply documents converts your margin into unpaid labour.

Test this area with one exercise. Take a real technical evaluation sheet from a live tender in your market, send it to the supplier, and ask them to complete it. A manufacturer with a documentation habit returns it filled. A reseller returns a brochure. Area 4: Commercial and channel terms
I am not going to quote you a margin band, a minimum order quantity, a lead time or a warranty period on a web page. Anyone who does is either guessing or setting you up for a disappointment, because every one of those is negotiated per relationship and per destination. What I can give you is the structure of the conversation, so you know what has to end up in writing.

Two things I will say plainly. First, do not sign a distribution agreement that is silent on direct sales into your territory. Silence is not protection. Second, do not build your business case on an exclusivity you were promised in a meeting. If you want exclusivity, negotiate it, accept the volume conditions that usually come with it, and get it signed. Import and export documentation
Teaching and demonstration apparatus commonly classifies under HS heading 9023, which covers instruments, apparatus and models designed for demonstrational purposes and unsuitable for other uses. Treat that as commonly applicable, not as settled. Classification depends on the specific article and on the importing country’s tariff, so confirm the code for each item with your own customs broker in your destination before you quote duty-inclusive.

Area 5: After-sales
Distributor relationships rarely die at the first order. They die at the third failure that nobody owned.

Judge after-sales by response, not by promise. Send a technical question through the supplier’s normal enquiry channel before you sign anything, and time the reply. That reply time is the one you will be living with for the next several years, and it is more predictive than any certificate on the wall. Send it through the same general enquiry route any of your customers would use, not through your personal contact, because that is the route your customers will get.

If a competing supplier scores higher than that on the checks that matter for your market, take them. A framework that only ever produces one answer is marketing, not diligence.

The short version
A manufacturer worth representing can show you the works, produce a drawing of their own product, hand over a specification sheet with numbers on it, tell you honestly what their certificates do and do not prove, and put channel terms in writing before you have spent anything. A manufacturer not worth representing will be charming about all five and evidence none of them.
Score three suppliers. Verify every accreditation claim against the accreditation body’s published directory, because that check takes minutes and settles arguments permanently. Get the commercial terms written down before the first shipment rather than after the first dispute. And be careful never to describe a factory calibration certificate as an accredited one, no matter how much pressure the tender puts you under, because that is the mistake that turns a won bid into a disqualification and a damaged name.
