Calibration certificates are the most frequently requested, most frequently missing, and most easily preventable documentation gap in engineering and pharmacy lab inspections. NBA, ABET, NAAC, PCI, and INC inspectors all ask for current calibration certificates — and “current” means within the last 12 months. This guide explains what needs calibration, where to get it done, what a valid certificate must contain, and how to build a renewal tracking system that keeps your lab inspection-ready year-round.

Where to Get Calibration Done

In India: NABL-accredited calibration laboratories are listed at nabl-india.org. Calibration by a NABL-accredited lab is mandatory for NBA, NAAC, and PCI inspections — certificates from non-NABL labs are not accepted.

Outside India: National Metrology Institutes (NMIs) and their accredited calibration labs are the accepted standard: KEBS in Kenya, NIST-accredited labs in the US, UKAS-accredited labs in the UK, DAkkS in Germany. For institutions in East Africa where NABL-traceable certificates may not be accepted, certificates from the national metrology body or a BIPM-affiliated calibration lab are typically acceptable to accreditation bodies.

Manufacturer calibration: Many equipment manufacturers (including Scientico India) provide calibration at installation as part of the supply. This calibration is traceable to NABL standards and is accepted by NBA inspectors as the “at installation” certificate. Annual recalibration must be performed by an NABL-accredited calibration lab — the manufacturer’s calibration service at installation is not automatically renewed.

What a Valid Calibration Certificate Must Contain

  • Calibration laboratory name and accreditation number (NABL, UKAS, KEBS, etc.)
  • Equipment description: make, model, serial number, and ID number
  • Calibration date (date calibration was performed, not certificate issue date)
  • Calibration results: measured values vs. reference values, uncertainty, and error at each calibration point
  • Reference standard traceability chain: the serial numbers and calibration certificates of the reference standards used
  • Next calibration due date
  • Calibration technician signature

Building a Calibration Renewal Tracking System

The simplest system that prevents expired certificates during an inspection: maintain a single-page calibration due dates register in each lab, organised by month. Include: equipment name, model, serial number, last calibration date, calibration laboratory, and next due date. Review the register at the start of each academic semester. Equipment due for calibration in the next 90 days should be scheduled immediately — calibration labs often have 4–8 week lead times.
